Privacy Policy

Dockit is a tax and accounting firm, so the information you give us is about as sensitive as personal information gets. This page says exactly what we collect, what we do with it, who else ever sees it, and what you can ask us to do about it. It is written to be read, not to be skimmed past.
What we collect
To prepare a return or close a set of books we need the documents that describe your year. That includes identifying information (your name, address, date of birth, Social Security or taxpayer identification number, and the same for your spouse and dependents), income and tax documents (W-2s, 1099s, K-1s, 1098s, brokerage and equity statements), and financial records (bank and credit card statements, invoices, receipts, and payroll reports).
We also collect account and billing information: your email address, the messages you send us, and payment details. Payment card numbers go directly to our payment processor and are never stored on our systems.
When you visit this site we collect ordinary technical information — IP address, browser, pages viewed. We do not need your tax information to do that, and we do not link the two.
How we use it
We use your information to do the work you hired us to do: prepare, review, sign and electronically file your returns; close your books; answer your questions; respond to notices; and bill you.
We do not sell your information. We do not share it with advertisers, data brokers, or affiliates for marketing. We do not use your tax return information to market other services to you without asking you first, in writing, in a separate signed consent.
Your consent under IRC section 7216
Federal law (Internal Revenue Code section 7216) makes it a criminal offense for a tax return preparer to use or disclose the information in your return for any purpose other than preparing that return, unless you have signed a specific consent first.
That consent is a separate document, it names the exact use or disclosure it covers, and it is never bundled into an engagement letter or a website policy. If we ever need one, we will ask for it on its own and explain plainly what it permits. You may decline, and declining does not affect the work we do for you.
Who else sees your information
Only the people and services that the work requires. The licensed professional assigned to your return and the staff supporting them. The IRS and your state tax authority, when we transmit a return you have approved. Our document storage, e-file transmission, payment and communication providers, each under a written agreement that limits them to serving us and forbids them using your data for their own purposes. Protection Plus, if you make an audit defense claim, and only the information that claim needs.
We will also disclose information where the law compels it — a valid subpoena, court order, or lawful demand from a tax authority — and, where we are permitted to, we will tell you first.
AI systems are used to draft from your documents. That processing happens under agreements that prohibit the provider from training models on your data or retaining it beyond what the task requires. A licensed professional reviews and signs every return; nothing is filed on a model output alone.
How we protect it
As a tax preparer we are subject to the Gramm-Leach-Bliley Act Safeguards Rule, which requires a written information security program. Ours covers encryption of your documents in transit and at rest, multi-factor authentication for staff, access limited to the people working on your file, logging, vendor review, and an incident response plan.
Your documents live in your portal, not in email threads. Please do not email us tax documents; upload them instead. If we believe your information has been exposed we will notify you and the relevant authorities as the law requires.
How long we keep it
We keep copies of returns we prepared and the records supporting them for at least seven years, because federal and state rules require a preparer to retain them and because you may need them if a return is examined.
Everything you uploaded and everything we filed is downloadable from your portal at any time, including after you stop being a client. If you ask us to delete information we will do so except where retention is legally required, and we will tell you what we had to keep and why.
Your choices
You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it subject to the retention rules above, and withdraw any consent you have given. Write to us and we will respond within thirty days.
Residents of California, Colorado, Connecticut, Virginia and other states with comprehensive privacy laws have these rights by statute, along with the right to appeal a refusal and to be free from discrimination for exercising them. We extend the same rights to everyone.
Note that information we hold as a tax preparer is largely governed by the federal rules above rather than by state privacy statutes, which generally exempt it. Where the two differ, we apply whichever gives you more protection.
Cookies and analytics
This site uses only the cookies required to make it work. It carries no analytics, no advertising tags and no third-party trackers. If that ever changes we will name the tool here, say what it collects, and describe how to opt out, before it goes live.
Your portal uses cookies to keep you signed in. Those are necessary; turning them off will sign you out.
Children
This service is for adults. We do collect information about dependents, including children, because a return requires it — but we collect it from the adult filing the return, not from the child.
Changes to this policy
If we change this policy we will update the date at the top and, for any change that materially affects how we handle your information, tell you directly before it takes effect.
